Privacy Policy

VoiceCheck is a web-based service for creating, collecting, reviewing, and managing classroom speaking assignments.

This Privacy Policy explains what information VoiceCheck processes, why it is processed, how long it is kept, and the choices available to teachers and other users.

1. Information VoiceCheck Processes

VoiceCheck processes information necessary to provide the service.

Teacher account information

When a teacher creates and uses a VoiceCheck account, VoiceCheck may process:

• full name;
• email address;
• authentication and account information;
• subscription tier and subscription status;
• account settings and service usage information.

Teachers may sign in using email and password or supported third-party authentication such as Google sign-in.

Classroom and assignment information

Teachers may provide:

• class names;
• student rosters;
• student names;
• school student IDs;
• assignment titles, prompts, instructions, deadlines, and related materials;
• grading and scoring preferences;
• teacher-entered or teacher-edited scores and feedback.

Student submissions

When students complete a speaking assignment, VoiceCheck may process:

• student name and school student ID;
• class and assignment information;
• voice recordings;
• recording duration and submission timestamps;
• generated transcripts;
• AI-generated suggested scores and feedback;
• teacher-reviewed or teacher-edited scores and feedback;
• submission status and related assessment information.

Students do not need to create individual VoiceCheck accounts to submit classroom assignments.

LINE integration

If a teacher enables VoiceCheck's LINE functionality, VoiceCheck may process identifiers needed to provide that integration, including LINE user IDs and LINE group IDs, as well as information about assignment announcements and reminders sent through the integration.

Technical and security information

VoiceCheck may process limited technical information needed to operate and protect the service, including request information used for security, abuse prevention, and rate limiting.

Where IP-address-based protection is used, VoiceCheck may derive protected identifiers from request information for rate-limiting purposes rather than using the raw address as the application-level rate-limit identifier.

2. How VoiceCheck Uses Information

VoiceCheck uses information to:

• provide teacher accounts and classroom workspaces;
• create and manage classes, rosters, and assignments;
• receive and process student speaking submissions;
• generate transcripts, suggested assessment scores, and feedback;
• allow teachers to review and change assessment results;
• show submission, grading, and class progress information;
• provide gradebooks and related exports;
• provide enabled LINE assignment and reminder functionality;
• manage subscription access and usage limits;
• maintain service reliability, security, and abuse protection;
• respond to support and account requests.

VoiceCheck does not use production student submissions, student recordings, transcripts, teacher corrections, or assessment results to train general-purpose AI models or as a dataset for VoiceCheck research and development.

Separate test or evaluation data collected specifically for development may be used independently of customer production submissions and subject to the permissions applicable to that data.

3. AI Processing

VoiceCheck uses third-party artificial intelligence services, primarily Google Gemini services, to process speaking submissions and generate transcripts, suggested assessment scores, and feedback.

Audio and related assignment context may be transmitted to the configured Google AI service when necessary to perform an assessment.

VoiceCheck uses this processing to provide the requested assessment functionality. AI-generated transcripts, scores, and feedback may contain errors and are not treated as final teacher decisions.

VoiceCheck does not operate its own general-purpose AI model trained on customer student submissions.

4. Teachers, Schools, and Student Data

VoiceCheck is designed for use by teachers and educational organizations.

Teachers are responsible for ensuring that they have the authority to provide student information to VoiceCheck and to collect student voice recordings through the service.

Where required, teachers or their schools are responsible for providing appropriate notices and obtaining any necessary permission or consent from students and parents or guardians before collecting or submitting student recordings or other personal information.

Teachers should not use VoiceCheck to collect personal information that is not necessary for the classroom assignment.

5. Service Providers

VoiceCheck relies on third-party services to operate the product.

These include:

Supabase for authentication, database services, and file storage.

Google AI services, including Gemini, for AI-assisted transcription and assessment processing.

Vercel for application hosting and delivery.

LINE when a teacher enables LINE-related features.

Creem for paid subscription checkout, billing, and payment processing.

Creem acts as Merchant of Record for paid VoiceCheck transactions. Payment details and other information required to complete a transaction are processed by Creem under Creem's own terms and privacy practices. VoiceCheck may receive information necessary to identify the subscription, plan, payment status, and account entitlement.

VoiceCheck does not need to receive or store a customer's complete payment card details in order to provide the subscription.

6. Audio Retention

Hosted student submission audio is retained for 30 days from upload.

After the 30-day retention period, the audio becomes unavailable for normal VoiceCheck assessment and playback and is scheduled for deletion from VoiceCheck-controlled storage.

Transcripts, scores, feedback, submission records, and other non-audio classroom data are not automatically deleted when the audio retention period ends.

7. Retention of Other Data

Teacher account information, classes, rosters, assignments, transcripts, scores, feedback, and other non-audio service data are retained while the account and related data remain in VoiceCheck, unless deletion is requested.

A teacher may request deletion of their VoiceCheck account and associated data by contacting [email protected].

When an account deletion request is completed, VoiceCheck will delete account and classroom data under its control that is associated with that account.

Third-party providers such as Creem may retain transaction, billing, tax, fraud-prevention, or other records under their own legal obligations and retention policies. Such records are not controlled by VoiceCheck.

8. Data Security

VoiceCheck uses technical access controls and server-side authorization intended to restrict access to teacher and student data.

Teacher classroom data is access-controlled by account ownership, and internal service operations use restricted server-side access where required.

No internet-based service can guarantee absolute security, but VoiceCheck is designed to limit access to data to the functions and users that require it.

9. International Processing

VoiceCheck uses cloud and technology providers that may process or store information in countries other than the country where the teacher or student is located.

The location and handling of data by those providers are governed by the applicable services and agreements used to operate VoiceCheck.

10. Access, Correction, and Deletion Requests

Teachers may update classroom information through VoiceCheck where the relevant editing functionality is available.

Requests concerning access, correction, deletion, or other questions about information held by VoiceCheck may be sent to:

Requests involving student data should normally be made through the teacher or educational organization responsible for the relevant VoiceCheck classroom.

11. Changes to This Policy

VoiceCheck may update this Privacy Policy when the service, its data practices, or its providers change.
